Complaints Procedure

23. A complaint is defined as an expression of dissatisfaction regarding the standard of service, actions, or lack of action by White Lotus Transformational & Recovery Coaching Ltd., its staff, or other representatives.

a. Informal Resolution

Where possible, individuals are encouraged to address complaints informally with the person(s) directly involved. Many issues can be resolved quickly through open and constructive dialogue.

b. Formal Complaint Submission

If the complaint cannot be resolved informally a formal complaint can be submitted. Formal complaints should be made in writing and include the following details:

Complainant’s name and contact information
Date of the incident or issue
Detailed description of the complaint
Any relevant supporting documents or evidence
Desired outcome or resolution

c. Acknowledgment

Upon receipt of a formal complaint, White Lotus Transformational & Recovery Coaching Ltd. will acknowledge the complaint in writing within 5 working days.

d. Investigation

White Lotus Transformational & Recovery Coaching Ltd. will conduct a thorough investigation into the complaint. This may involve:

Reviewing relevant documents and evidence
Interviewing the complainant and any other relevant parties
Consulting with other staff or departments as necessary

The investigation should be completed within 20 working days of receiving the complaint. If more time is needed, the complainant will be informed of the delay and the revised timeframe.

f. Resolution

Upon completion of the investigation, White Lotus Transformational & Recovery Coaching Ltd. will provide a written response to the complainant. This response will include:

Any actions taken or proposed to address the issue
An explanation of the rationale behind the decisions made
Information on any further steps or follow-up actions

g. Appeal

Appeals will be reviewed by a n external assessor and final decision will be provided in writing within 20 working days of receiving the appeal.

All complaints and related information will be handled with the utmost confidentiality. Information will only be shared with individuals directly involved in the investigation and resolution of the complaint. The same applies to the complainant, who agrees to refrain from making any complaints or derogatory remarks about the dissatisfaction publicly on social media, print media, broadcast or elsewhere.
